A new client of mine asked me to give him a Helicopter View of how to run the day to day operations of a blog.

My response was; “Sure but Mr. X you’re not paying me enough to take the time necessary to write that for you. So, your options are to do so, or I can share what I write with my entire audience.”

We both decided that this would be a win-win for him, YOU (the readers), and I.

So here you go.

Side Note: Why listen to me? Simple…Results. We’ve produced over 2,500 pages of content here at MyNoteTakingNerd with six figure profits for two years. All in a systematized format that makes my life much easier then most.

The first thing you must do to run a Profitable Blog or any business is to have an infrastructure in place to manage systems, processes, and procedures.

A huge challenge you will have as an entrepreneur is how do you manage the Massive Flood Of Information that comes your way on a daily basis.

This is a challenge not experienced by many prior to this past decade.

Your Niche, Market, Customers, and overall business landscape changes daily.

Social Media, Traffic, SEO, Systematizing, Optimizing, etc…all changes rather quickly.

The tools you use as well as the strategies and tactics will and do change much faster then anytime before.

Remember MySpace? Do you think much about eBay anymore?

Who knows what will work tomorrow.

To keep up with this you have to have the mindset of a scientist as well as a technician.

Utilizing all of this changing information in a way that makes it manageable.

Alright, so here is how you manage the systems and information in your business.

  1. Create folders inside of your email client (I use Gmail) for the types of people and information that frequent your inbox. ALWAYS file your emails as you read them and then archive the message.
  2. Utilize mind mapping (I use MindJet but Xmind is very good and free) to capture ideas, websites, and information in real time.
    1. Example: I have a central mind map with every type of topic that interests me as well as “branches” for ideas I want to further explore or tools that I want to look at later. When I run across a website or tool I’m not going to utilize at that moment I’ll put the URL or a quick note in the appropriate branch. This way I can always revisit and read or get the tool at a later time. This way I’m only focusing my time on information that is applicable to my current ability to consume and USE it.
  3. Use Evernote (free software for your phone, PC, and Ipad) to capture quick notes, full website pages, and meeting minutes. Remember to “tag” your notes appropriately so that it becomes easily search-able for later use. I also recommend that you get the desktop software as well as the web clipper extensions (available for firefox and chrome). They both work in tandem and the desktop software allows you to utilize offline as it syncs with your other devices.
  4. NOW the biggie. Create and Use an internal blog that acts as a repository for all systems, processes, and procedure. Some recommend utilizing a Wiki. I personally just use a WordPress blog which isn’t indexed.

How do we use it? We upload all of our Core Tactics and Procedures such as our SEO Process, Content Syndication, or Blog Writing Strategies.

Key Point: We also upload anything that was a challenge and we find a solution. So let’s say a WordPress plugin is giving us a challenge and we find an article or video that fixes it. We will then copy that article to evernote and then upload to the blog or if it’s a video we will embed it. The key is to properly “tag” the content so you can find it later. All of our Core Content has the tag “core”. This way when we search for that all of those come up.
